Discovery Call Checklist

Spot bad-fit clients before you send the proposal

A short red flag scan for freelancers and small agencies. Use it after every discovery call to decide whether to proceed, add guardrails, or walk away.

The 5-part red flag scan

  • 1Decision-maker clarity

    Can they name one person who reviews and approves work? Multiple vague approvers usually become contradictory feedback loops.

  • 2Past-provider accountability

    If a previous provider “failed,” can they explain their own role in the breakdown — or is every issue externalized?

  • 3Process respect

    Do they accept your workflow, or try to skip kickoff, intake, strategy, access collection, and other protective steps?

  • 4Scope stability

    Did the project definition hold for the whole call, or did “while we’re at it” items keep appearing before scope was defined?

  • 5Value-before-price orientation

    Do they explore the problem and outcome before pushing for a number, or is the whole conversation anchored around cheapest price?

  • “Who will be the final approver on deliverables, and who else needs to be consulted?”
  • “Have you worked with an agency/freelancer on this before? What went well, and what would you change this time?”
  • “What parts of our process are non-negotiable for you, if any?”
  • “If we had to cut this project down to one outcome, what would matter most?”
  • “What has already been decided internally, and what still needs alignment?”
  • “What would make this engagement feel successful 30 days after kickoff?”
  • “What budget range have you set aside, and what constraints should we design around?”
  • “What access, content, approvals, or internal people could slow this down?”

Scoring

0–1 flagsGreen light. Proceed normally, but document scope and approvals.
2–3 flagsProceed with guardrails: paid discovery, tighter milestones, narrower scope, or stricter approvals.
4–5 flagsWalk away or restructure. The project will likely cost more energy than it pays.
